How we use your information.

Who we are

This website belongs to Richard Capper, trading as Ensure Energy Consultancy. We are a sole trader based in the UK and we work nationally. Under data protection law we are the controller of the information described on this page, which means we decide why it is collected and what happens to it.

What information we collect

This is a brochure website with a contact form on it. There is no login, no account and no shop. We collect the following.

• What you type into the contact form. The fields are your name, email address, company, phone number, the topic you pick and your message. Submissions are emailed to our Microsoft 365 mailbox. They are not stored in a database on the website.
• A spam check on the form. This may record the IP address a message is sent from and the time it was sent, so that repeated submissions can be limited. The contact form is protected by Cloudflare Turnstile, which blocks automated submissions.
• Server access logs. Our hosting provider keeps standard logs of requests to the site, which include IP address, browser type, the pages requested and the time. These are kept for security and troubleshooting.
• Visitor statistics. We use Cloudflare Web Analytics to count visits and see which pages are read. It runs on every page. It does not use cookies, stores nothing on your device and does not follow you across other websites. It records the page viewed, the site that sent you, your browser type, your country and how fast the page loaded, and shows us totals rather than a profile of any one person.
• Analytics, but only if you accept cookies. If you click Accept on the cookie banner, we load Google Analytics 4. It records the pages you view on this site, roughly where in the world you are, your device and browser type and how you arrived, and it sets cookies in your browser to do it. If you click Reject, or close the banner without answering, it is not loaded and it collects nothing. The cookies section below sets this out in full.
• Font requests. The typefaces on this site are loaded from Google Fonts, so Google receives your IP address when your browser asks for the font files.

How we use it and our lawful basis

We use what you send us to answer your enquiry, to talk through the work you are asking about, and to keep the website running securely. We rely on the following lawful bases.

• Legitimate interests. Responding to enquiries, running the website securely and reading our cookie-free visitor totals to see how many people come to the site and which pages they use. It is in our interest to reply to people who contact us, and in yours to get an answer.
• Contract. Where an enquiry leads to work, we use your details to carry out that work.
• Consent. Google Analytics, and nothing else. Its cookies are only set if you click Accept on the cookie banner, and you can withdraw that at any time through the Cookie settings link in the footer. The Turnstile cookie described below is strictly necessary for the contact form, so it does not rely on consent, and Cloudflare Web Analytics uses no cookies at all. We do not do marketing email.

Cookies

This website uses two kinds of cookie. One is strictly necessary and is always there. The other is analytics, and it is only ever set if you ask for it.

• Cloudflare Turnstile. Strictly necessary, always on. The contact form is protected by Cloudflare Turnstile, which places one cookie in your browser so the spam check knows the form was completed by a person and not a script. It carries no analytics or advertising data. A cookie that is strictly necessary for a service you asked for does not require your consent, so this one is set without asking.
• Google Analytics 4. Analytics, only with your consent. If you click Accept on the cookie banner, we load Google Analytics 4, which sets cookies in your browser so it can tell a new visit from a returning one and group your page views into a single session. We use it to see how many people come to the site, which pages they read and how they found us, so we know which pages are worth improving. The data is collected and processed by Google as our processor and held on Google’s systems, which may be outside the UK, under the transfer safeguards in Google’s data processing terms. We do not use it for advertising and we do not use it to identify you. If you click Reject, or close the banner without answering, Google Analytics is never loaded, no request is made to Google for it and none of its cookies are set.

Our headline visitor numbers do not come from Google at all. They come from Cloudflare Web Analytics, which runs on every page, uses no cookies and stores nothing on your device. It is described under what information we collect, above.

How to change or withdraw your consent. Your answer to the banner is stored in your own browser, not on our server, so it applies to that browser on that device. To change it, click Cookie settings at the foot of any page on this site. The banner reopens and you can accept or reject. Rejecting stops Google Analytics loading from that point on. Clearing cookies and site data in your browser settings also works: it deletes any analytics cookies already set and clears your stored answer, so the banner will ask again next time.

The fonts are worth flagging as well. They are loaded from Google Fonts, which means Google receives your IP address when the font files are requested. That is a request to Google’s servers rather than a cookie set by us, but it is fair that you know it happens.

We use no advertising cookies and no other tracking cookies. If we add a tool that does use cookies, we will update this policy before it goes live and, where the law requires it, we will ask for your consent first.

Who we share it with

We use a small number of suppliers to run the site and our email. They hold the information on our behalf.

• Hostinger, our hosting provider, whose servers hold the website and the access logs.
• Microsoft 365, our email provider, which holds enquiry emails and our replies.
• Cloudflare, which handles DNS for the domain, the spam protection on the form and our cookie-free visitor statistics.
• Google, which serves the typefaces this site uses and, where you have accepted analytics cookies, runs Google Analytics 4 for us.

We do not sell your data and we do not add you to marketing lists.

How long we keep it

• Enquiry emails. Kept for as long as we need them to deal with your enquiry. Where the enquiry leads to work, we keep them for the length of the engagement and for up to six years afterwards, for accounting and legal purposes.
• Server logs. Kept by our hosting provider for a limited period.
• Visitor statistics. Kept by Cloudflare for a limited period, as totals that do not identify you.
• Google Analytics data. Only where you have accepted analytics cookies. Google keeps it for 14 months and then deletes it. The cookies themselves expire in your browser, the longest of them after two years, and clearing your browser data removes them sooner.

Your rights

Under UK GDPR you have the right to:

• ask for a copy of the information we hold about you (access)
• have anything wrong put right (rectification)
• ask us to delete it (erasure)
• ask us to limit what we do with it (restriction)
• object to us using it (objection)
• ask for it in a portable format (portability)
• complain to the Information Commissioner’s Office

These rights are not absolute and some of them only apply in certain situations, but ask and we will tell you where you stand. There is no charge, and we will reply within one month.

If you are unhappy with how we have handled your information, you can complain to the Information Commissioner’s Office. Their website is ico.org.uk and their helpline is 0303 123 1113. We would rather you came to us first so we can put it right, but you do not have to.

Changes to this policy

If the way the site works changes, for example if we add a different contact form or tools that use cookies, we will update this page before that change goes live. Any earlier version is replaced by the one shown here.
