How we use your information.

This page explains what information this website collects, why, and what your rights are. It is written in plain English and it is short, because we collect very little.

Who we are

This website belongs to Richard Capper, trading as Ensure Energy Consultancy. We are a sole trader based in the UK and we work nationally. Under data protection law we are the controller of the information described on this page, which means we decide why it is collected and what happens to it.

What information we collect

This is a brochure website with a contact form on it. There is no login, no account and no shop. We collect the following.

  • What you type into the contact form. The fields are your name, email address, company, phone number, the topic you pick and your message. Submissions are emailed to our Microsoft 365 mailbox. They are not stored in a database on the website.
  • A spam check on the form. This may record the IP address a message is sent from and the time it was sent, so that repeated submissions can be limited. The contact form is protected by Cloudflare Turnstile, which blocks automated submissions.
  • Server access logs. Our hosting provider keeps standard logs of requests to the site, which include IP address, browser type, the pages requested and the time. These are kept for security and troubleshooting.
  • Font requests. The typefaces on this site are loaded from Google Fonts, so Google receives your IP address when your browser asks for the font files.

How we use it and our lawful basis

We use what you send us to answer your enquiry, to talk through the work you are asking about, and to keep the website running securely. We rely on the following lawful bases.

  • Legitimate interests. Responding to enquiries and running the website securely. It is in our interest to reply to people who contact us, and in yours to get an answer.
  • Contract. Where an enquiry leads to work, we use your details to carry out that work.
  • Consent. This would apply to non-essential cookies or to marketing. We use neither, so we are not relying on consent for anything today. The Turnstile cookie described above is strictly necessary for the contact form and does not require consent.

Cookies

This website sets one cookie. The contact form is protected by Cloudflare Turnstile, which places a cookie in your browser so the spam check knows the form was completed by a person and not a script. It is strictly necessary for the form to work and it carries no analytics or advertising data. There are no analytics cookies and no advertising cookies in use.

The one thing worth flagging is the fonts. They are loaded from Google Fonts, which means Google receives your IP address when the font files are requested. That is a request to Google’s servers rather than a cookie set by us, but it is fair that you know it happens.

If we add analytics later, we will update this policy before they go live and, where the law requires it, we will ask for your consent first.

Who we share it with

We use a small number of suppliers to run the site and our email. They hold the information on our behalf.

  • Hostinger, our hosting provider, whose servers hold the website and the access logs.
  • Microsoft 365, our email provider, which holds enquiry emails and our replies.
  • Cloudflare, which handles DNS for the domain and the spam protection on the form.

We do not sell your data and we do not add you to marketing lists.

How long we keep it

  • Enquiry emails. Kept for as long as we need them to deal with your enquiry. Where the enquiry leads to work, we keep them for the length of the engagement and for up to six years afterwards, for accounting and legal purposes.
  • Server logs. Kept by our hosting provider for a limited period.

Your rights

Under UK GDPR you have the right to:

  • ask for a copy of the information we hold about you (access)
  • have anything wrong put right (rectification)
  • ask us to delete it (erasure)
  • ask us to limit what we do with it (restriction)
  • object to us using it (objection)
  • ask for it in a portable format (portability)
  • complain to the Information Commissioner’s Office

These rights are not absolute and some of them only apply in certain situations, but ask and we will tell you where you stand. There is no charge, and we will reply within one month.

If you are unhappy with how we have handled your information, you can complain to the Information Commissioner’s Office. Their website is ico.org.uk and their helpline is 0303 123 1113. We would rather you came to us first so we can put it right, but you do not have to.

Changes to this policy

If the way the site works changes, for example if we add analytics or a different contact form, we will update this page before that change goes live. Any earlier version is replaced by the one shown here.
